Privacy Policy
How we handle your information, respect your choices and protect your privacy.
1. Who we are and scope
KR Digital Dynamics (Pty) Ltd is a South African technology services company. We are the responsible party for personal information collected through this corporate website and related business correspondence. This policy explains what we collect, why we use it and how you can exercise your rights.
It covers service enquiries, partnership discussions, newsletter subscriptions and recruitment correspondence. A client engagement or a separate KR Digital Dynamics product may have its own agreement and privacy notice. Where we process information for a client, the relevant project agreement determines our responsibilities.
Your choices matter. Sending an enquiry does not automatically subscribe you to marketing. Newsletter consent is a separate, optional choice.
2. Information we collect
We collect information you provide directly and limited technical information needed to operate the website.
- Contact and partnership enquiries: name, email address, organisation if supplied, area of interest, message, submission reference and correspondence.
- Consent records: newsletter choice, consent time, source of the subscription and the version of the privacy notice and website terms presented.
- Newsletter subscriptions: email address and your consent record. Matching email addresses are associated with the same subscription record.
- Recruitment correspondence: information you choose to send, such as a CV, qualifications, experience and contact details.
- Technical and security information: hosting or security providers may receive your IP address, browser/device details, request time and requested URL. Our anti-spam controls process security tokens and associated verification information.
Please provide only information relevant to your request. Do not send passwords, payment-card details, identity documents, confidential client records or sensitive health information through a general enquiry.
3. Purposes and lawful processing
We use information to respond to enquiries, assess requirements, discuss partnerships, maintain business correspondence, consider applications, protect forms against abuse and administer your newsletter preferences.
Processing is limited to an appropriate lawful ground under POPIA, including your consent where required, steps requested before an agreement, contractual requirements, applicable legal obligations or legitimate interests in operating and securing our business, subject to your rights.
Contact details and an enquiry message are needed to respond through the form. Optional fields are identified as optional. If necessary details or security checks are not supplied, we may be unable to process the submission. Newsletter subscription is never a condition for requesting services.
4. Newsletters and direct marketing
We collect newsletter subscriptions through an optional contact-form checkbox or the separate footer form. We use these subscriptions for company updates and technology insights within the scope of your choice.
You may withdraw newsletter consent at any time by emailing info@krdigitaldynamics.co.za from the subscribed address. Where marketing emails are sent, they must identify us and provide a simple, free unsubscribe method. A request to stop marketing does not prevent necessary replies to an enquiry or communications about an existing agreement.
We retain an appropriate record of consent and withdrawal so we can respect your preferences. Withdrawing consent does not undo processing that was lawful before withdrawal.
5. Access, service providers and disclosure
Information is available to authorised personnel who need it to handle your request or administer the website. Enquiries may be circulated to authorised business mailboxes for review and response.
- Hosting and database providers support storage, delivery, backups and technical operations.
- Microsoft 365 supports business correspondence and contact-form acknowledgement and notification emails.
- Cloudflare Turnstile verifies contact and newsletter submissions to help prevent automated abuse. See Cloudflare’s Privacy Policy.
- Professional advisers or public authorities may receive information where necessary and lawfully authorised, including to meet legal obligations or resolve a dispute.
We do not sell enquiry details or newsletter lists. Provider access must be appropriate to the purpose and subject to applicable confidentiality and data-protection requirements. Client and technology logos on the website do not mean those organisations receive your personal information.
6. International processing
Cloud-based hosting, security and email services may process information in countries outside South Africa. Where an international transfer is involved, we must assess and use the protections required by POPIA, including appropriate legal or contractual safeguards where applicable. Processing locations depend on the provider and service configuration.
Contact us if you need more information about relevant providers or safeguards for a particular request.
7. Retention and deletion
We keep records for as long as reasonably necessary for the purpose for which they were collected, including responding to an enquiry, managing an engagement, considering an application, respecting marketing preferences, meeting legal recordkeeping obligations or establishing and defending legal claims.
The period depends on the record, the relationship, applicable obligations and whether a dispute or legal hold applies. When continued retention is no longer justified, records should be deleted, de-identified or otherwise handled as required by law. Necessary backup copies may remain until the relevant backup cycle ends.
You may ask us about the retention period applicable to your information or request deletion. A request is assessed against any lawful obligation to retain the record; it does not automatically require deletion of every business record.
8. Security and incidents
We use proportionate technical and organisational measures to limit unauthorised access and abuse. Website forms use anti-forgery protection, input validation, rate limiting and CAPTCHA verification. Business access and provider permissions should be limited to authorised purposes.
No online system can guarantee absolute security. If you suspect a security issue, contact us without including unnecessary personal information or attempting further access. Where a security compromise triggers notification duties, we will address the incident and notify the Information Regulator and affected individuals as required by applicable law.
9. Cookies and browser storage
The website uses essential ASP.NET security and message cookies for form protection and submission feedback. The display theme is stored in your browser’s local storage so your preference can be remembered.
| Category | Purpose | Your control |
|---|---|---|
| Essential cookies | Form security and submission feedback | Browser settings; blocking may prevent forms from working |
| Theme preference | Remember light or dark mode | Change the theme or clear site storage |
| Security verification | Turnstile anti-spam checks | Provider privacy controls and browser settings; verification is required for forms |
The current website does not include advertising or audience-analytics trackers. If optional tracking is introduced, the notice and relevant choice mechanism must be updated before it is used. External websites reached through links have their own storage and privacy practices.
10. Your rights and requests
Subject to POPIA and other applicable requirements, you may request access to your information, ask for inaccurate records to be corrected, request deletion or restriction where appropriate, object to qualifying processing, withdraw consent or stop direct marketing.
Email info@krdigitaldynamics.co.za with the nature of your request and enough information to identify the relevant record. We may need proportionate identity verification before disclosing or changing information. We will explain any applicable limitation, procedure or lawful fee; unsubscribing from marketing is free.
You can also raise a complaint with the Information Regulator of South Africa. Contact the Regulator at enquiries@inforegulator.org.za or use its complaints portal.
11. Recruitment, children and sensitive information
Send employment enquiries to recruitment@krdigitaldynamics.co.za. Application information is used to assess suitability and manage recruitment correspondence. Ask us before submitting special personal information or documents that are unnecessary for the role.
This corporate website is intended for organisations and professional users. We do not intentionally solicit children’s personal information through its general enquiry or newsletter forms. If such information has been supplied without appropriate authority, contact us so we can assess and address it.
12. Updates to this policy
We may revise this policy when our practices or applicable requirements change. The effective date and version are displayed on this page. Material changes affecting consent-based processing may require renewed notice or consent before the new use begins. Earlier consent records retain the notice version recorded at the time.
